How does a hospital facility team determine when they need to perform renovations instead of maintenance? How does that team prioritize and request capital? Then, how does an entire healthcare system prioritize multiple facilities when they are requesting funds for renovations? These questions may run through the minds of healthcare facility managers and health system officials often.

Infrastructure projects are usually conducted in sections, such as wing-by-wing or floor-by-floor for example. This ensures continued safety for patients, healthcare workers and construction workers alike, especially in older buildings. It also allows facility managers to measure infrastructure and devices on a smaller scale. Hospitals have hundreds of pieces of equipment which all must be taken into consideration, from HVAC to sprinkler systems, which can be overwhelming when measured on a full-building scale.
 
Now imagine having over 100 facilities in your portfolio and wanting to measure all of their infrastructure for potential renovations and investments. That will include thousands of devices across the country. Medxcel has a portfolio of 20,000 pieces of equipment that must be taken into account and backed up with data. Specifically, Medxcel identified 19 different data points to measure for each piece of equipment across its facilities system – that’s roughly 380,000 individual data points. But what do you do with all that data?
 
To comprehensively measure and rank all of this data in a priority order, we use a complex formula to paint a full picture of the health system’s infrastructure and its needs.
 
The data points we find include everything from the area served by an individual piece of equipment and any area code violations to the device’s condition and energy efficiency. The measurements also denote each piece of equipment’s category, location, description, maintenance history, exact placement within the facility and CMS risk points. With all of this data compiled, the integrated engineering model formula can then weight and rank each device in every facility to determine project priority.
 
This sophisticated measurement and ranking formula was created by mathematical geniuses on the team in just nine weeks, and they’ve been gathering data for nearly a year. Like many processes in the healthcare system in 2020, though, COVID-19 slowed some momentum on the project. We are now focusing on facilities in Indiana and the integrated engineering model is taking shape. We can clearly see which facilities take precedence, what upgrades will be needed, and even gain a deeper insight into the capital needed to perform those updates.
 
This process wouldn’t be possible without a committed team of superstars working diligently on gathering and evaluating hundreds of thousands of data points.
